How to use Reports: reservations, payments, occupancy, rent roll, products, and line items

With the Reports tab, you’ll have everything you need to make data-driven decisions for your campground. Whether you’re checking occupancy trends, tracking monthly rental income, or reviewing add-on sales, these reporting tools give you full visibility and control.

The Reports tab is the main hub for reviewing your campground's data. You can use reports to understand your business, track performance, and pull the information you need for accounting and filing taxes.

Understanding your reports

Park includes several reports designed for different types of data:

  • Reservations Report — View information about your reservations and guests.
  • Sites and Occupancy Report — See a site-by-site breakdown of booked and available nights. This can help you identify popular sites and understand your overall capacity.
  • Rentals Report — Review expected recurring revenue from your long-term rentals.
  • Products Report — Review products sold through the store or added to reservations.
  • Payments Report — View payments collected through Park or recorded offline. This is generally the best report for accounting and tax purposes.
  • Line Items Report — See a line-by-line breakdown of charges associated with reservations and store orders, such as reservation charges, products, and electricity.

Your dashboard homepage also displays recent payment net volume and average occupancy for a quick overview of your campground's recent performance.

Viewing and downloading report data

Reports do not update in real time. Depending on the report, data is refreshed approximately every 15 minutes to one hour. You can see the refresh frequency and the time of the last update at the top of each report.

If your filters return more than 50 results, they will be divided between multiple pages. You can use the “next” and “previous” buttons at the bottom of the page to flip through these results.

You can also click Download to export any report as a CSV file. CSV files can be saved to your computer or opened in spreadsheet software for additional analysis.

Filtering your reports

Each report includes filters that you can use to narrow down your results and find the specific data you need.

Date filters

Every report includes a date filter. By default, reports display the last week of data, but you can select another preset interval or choose a custom date range.

Some reports also let you choose which date or accounting method to use:

  • Reservations Report — Filter by the reservation's start date, end date, or created date.
  • Products Report — Filter by the purchase date or by the associated reservation's arrival, departure, or created date. When filtering by reservation dates, only products purchased as reservation add-ons are included.
  • Payments Report — Choose between cash basis (when payment was received) and accrual basis (when the associated reservation begins).
  • Line Items Report — Filter by when the line item was created, or use cash or accrual basis. Selecting cash or accrual basis automatically limits the report to fully paid orders.

The Payments and Products reports also include an option to show data associated with removed bookings, which is otherwise excluded by default.

Custom filters

To narrow your results further, click Filter by and select an attribute. You’ll see a list of available values—select one or more to limit the report to rows that match your selections.

For example, you could:

  • Filter by Payment Mode and select Stripe payments to see only payments that were made online
  • Filter by Duration and choose Nightly to see only payments associated with nightly reservations.

Grouping results

Click the Group by button to combine your report data based on a particular property. For example, you could group by Site Type to see separate totals for RV and tent sites. Numeric fields, such as quantities, totals, or taxes collected, are added together. Other fields, such as labels, names, or dates, display a value if it is the same for every item in the group. If the returned rows contain different values, the field will instead display Multiple values.

You can group by more than one attribute to create a more detailed breakdown. When multiple columns are selected, the report displays a row for each unique combination.
