Importing reservations from your previous booking system

Importing reservations from your previous reservation system can make it easier to get up and running with Park. Learn how to find the data we need to run an import.

When switching to Park, you don't have to manually recreate all of your upcoming reservations. We can import reservation and guest information from your previous reservation software, making the transition much easier and ensuring your availability is accurate from day one.

What information do we need?

Every reservation system is a little different, but most allow you to export reservation data as a CSV file. At a minimum, we'll need the following information for each reservation:

  • Site
  • Arrival and departure dates
  • Guest name
  • Email address
  • Phone number

You're welcome to include additional fields as well. We'll map any information that Park supports, and if there are fields that don't have a direct equivalent, we'll include them in the reservation notes whenever possible.

How do I send my reservation data?

Most reservation systems include a reporting or export feature that allows you to download reservation data as a CSV file.

Once you've exported your data, simply email the CSV to support@poweredbypark.com or send it directly to your onboarding representative. We'll review the file, map the information, and import it into Park for you.

Importing guest records

If you don't have active reservations to import, we can also import your guest database on its own.

For guest imports, we'll typically need:

  • Guest names
  • Email addresses
  • Phone numbers
  • Any additional guest information

What to expect

A few important things to know about reservation imports:

  • Imports are primarily future-facing. Our goal is to ensure your upcoming reservations and site availability are accurate. Imports are not intended to recreate your complete booking history.
  • Payment records are not imported. This helps prevent revenue from being counted twice. If needed, imported reservations can be marked as paid after they're created in Park.
  • Reservations are imported using your current Park configuration. Pricing, taxes, fees, and reservation settings will reflect how they are currently configured in your Park account.

Exporting Reservations from Campground Master

If you're using Campground Master, follow these steps to export your reservation data in a CSV file.

  1. From the main dashboard, select the Arrivals tab.
  1. Adjust the arrival date range so it includes all of the reservations you'd like to import. We recommend:
    1. Setting the start date to include any current reservations that may already be checked in.
    2. Setting the end date far enough into the future to capture all upcoming reservations in your system.
  1. Select Options and make sure the export includes these fields:
    1. First Night
    2. Last Night
    3. Site
    4. Customer Name
    5. Email Address
    6. Phone Number
    7. Any additional columns you’d like to include in the imports. These will be mapped to the corresponding fields in Park where possible, or else included in the reservation notes.
  1. From the menu bar, choose: File → Export → Export Current View to CSV
    1. Choose a location to save the file, then complete the export.
