An indefinite long-term reservation allows you to create a reservation for a guest who does not have a known departure date. This is useful for long-term guests who may remain at your park for several months or years.
When an indefinite reservation is created, Park generates the first two months of the reservation and its invoices. A striped block then extends into the future on the Reservations Calendar, preventing other guests from booking that site.
You can view and edit up to two months of invoices at a time. As each month passes, Park automatically creates the next month’s invoice. Once the guest provides a departure date, you can set an end date and manage the booking like a standard long-term reservation.
Create an Indefinite Long-Term Reservation
The steps vary slightly depending on where you begin creating the reservation.
Create the Reservation using the Blue Create Reservation Button
- Click Create Reservation in the upper-right corner of the Reservations Calendar.
- Select Long-Term as the reservation type.
- Enter the guest’s arrival date.
The departure date will automatically display Indefinite, so you do not need to enter an end date.
Continue through the reservation process as usual and create the reservation on the reservations calendar.
Create the Reservation by Clicking the Calendar Directly
- Click directly on the desried site and date on the Reservations Calendar.
- Select Long-Term as the reservation type.
- Remove the automatically generated departure date.
- Click outside the departure-date field.
The field will update to Indefinite, confirming that the reservation does not have a scheduled end date.
Continue through the remaining steps and create the reservation as usual.
How Indefinite Reservations Appear on the Calendar
After the reservation is created, the first two monthly invoices will appear on the Reservations Calendar.
A gray striped block will appear immediately after those segments and continue indefinitely into the future. This block reserves the site so that no other reservations can be created there.
Hover over the striped block to view:
- A notice that it is an indefinite booking
- The guest associated with the reservation
Park will automatically generate the next monthly reservation segment and invoice after the current month passes. This allows you to view and manage up to two months of invoices at a time without creating years of future invoices in advance.
View and Manage the Reservation
You can open the indefinite reservation’s invoice details in either of the following ways:
- Click one of the existing reservation segments, then select Manage Invoices in the top right of the slide over.
- Click directly on the gray striped block.
The Manage Invoices window displays the invoices that have been created and other details about the long-term reservation.
Set an End Date
When the guest provides a departure date, you can convert the indefinite reservation into a standard long-term reservation by setting an end date.
- Open the reservation’s Manage Invoices window either through the slide over or by clicking the gray striped blocker.
- Click Set End Date in the Check-out input box.
- Enter the guest’s departure date.
- Click Set End Date to confirm.
Park will create the remaining monthly reservation segments through the selected departure date. You can then manage the reservation, invoices, and payments like any other long-term reservation.
